PEBBLEPAD STUDENT USER GUIDE

Accessing PebblePad

To access PebblePad please follow the link: https://v3.pebblepad.co.uk/login/huddersfield/

Log-in to PebblePad

Your login details for PebblePad are connected directly to your university login details and therefore are the same with the exception of your username.

Your PebblePad username is just your ID number and your password is the same as your University login.

For example if my ID number was u1234567 my login for University would be:

Username: u1234567@unimail.hud.ac.uk
Password: Student123

My login for PebblePad would be:

Username: u1234567
Password: Student123

Your login for PebblePad is the same login you would use to use a computer on campus.

Please ensure you type your details in and are not using AutoFill/remembered passwords/details as these may not be your most recent details. Also test your login on other university systems such as MyHud or Brightspace and ensure your credentials are correct.

Because the two accounts are linked you cannot reset your password through PebblePad, if you have genuinely forgotten it or are still encountering issues you will need to reset your University account by going to https://students.hud.ac.uk/studies/it/account/password

Accessing your portfolio for the FIRST TIME

  1. Login to UoH PebblePad
  2. Once logged in click Resources underneath your name

    BE AWARE If you do not have this option and/or your screen is different, click the green T icon at the top of your screen. This will take you to the standard home page of PebblePad where you can then click Resources

  3. Click on your portfolio.

    Your portfolio will be appropriately named depending on your course. For example Nursing portfolios start with MYEPAD, Occupational Therapy start with OTPAH, Paramedic has Paramedic in the title and so on. Its name may also contain your cohort or the placement it is for.
    For example:
    – MYEPAD MSc Jan 2022 Cohort
    – OTPAH–H2B
    – Paramedics Portfolio March 2022
  4. You will be prompted with a window regarding Auto share.
    It is crucial that you click I agree to the terms of usage then click Continue.
    BE AWARE Failure to do this will result in technical issues further down the line when trying to share your work. Allowing Auto share also allows your Academic Assessors to access your portfolio and for the main team to provide technical support.

  5. PebblePad does not Auto Save and therefore you have to Save manually. Click Save in the top left.
    When you finish working on your portfolio and ensure you Save and Log Out of PebblePad.

PebblePad account for my External

If your external does not have a PebblePad account contact hhs.brightspace@hud.ac.uk and provide your externals first and last name and their email address, Cc them into the email and we can then create a UoH PebblePad account for them.

If they say they already have an account check they have an account with the University and not a different organization. PebblePad logins are organization specific. If they do already have an account with the University contact hhs.brightspace@hud.ac.uk, provide your externals first and last name and their email address and Cc them into the email and we can add them to your workspace.

Giving Externals access to your Portfolio – How to Share (Desktop View)

Before you give your external access to you portfolio please ensure you read the BE AWARE section below. Steps on how to share with your external are found underneath this caution.

BE AWARE You only need to share your portfolio once with your external. Once you have shared your portfolio with your external you do not need to do it again and you do not need to share individual assets/documents with them. The portfolio is their one stop shop to access all your work.

Academics do not need your work sharing with them they should already have access. If they don’t please get them to contact hhs.brightspace@hud.ac.uk

If PebblePad requires you to upload documents/assets or create documents/assets please follow the instructions on the page to ensure externals can access them. Do not share the assets with externals or academics or to ATLAS. Externals can access them by logging into PebblePad and navigating to the necessary page where your work should be visible.

To share your Portfolio, follow these steps:

  1. Once logged in click Resources underneath your name and open your Portfolio
  2. Click I want to… in the top right of the screen
    (If you are on a mobile device click the circled i icon and then click I want to…)
  3. Click Share

  4. Click With an external assessor
    (If you do not have this option please ensure you have saved your work for the first time. Once you have saved the option will become available.
    If the issue persists please contact hhs.brightspace@hud.ac.uk as you will only get incorrect options to share which can cause confusion and technical complications if shared an incorrect way)

  5. Type in external assessor’s email address

  6. Press Enter or click the search icon to add the external. If it works their name and email will appear beneath the search bar.

    If you get the message "No external user was found with that email address" (pic below) when you try and add your external, check the email address is correct and spelt correctly.
    If it is spelt correctly and still cannot be found, contact hhs.brightspace@hud.ac.uk and provide your externals first and last name and their email address, Cc them into the email and we can then create a UoH PebblePad account for them.
    If they say they already have an account check they have an account with the University and not a different organization. PebblePad logins are organization specific.     Please ensure you do not enter a Share expiry date
  7. Scroll down and click Share asset

  8. Your external will receive an email from noreply@pebblelearning.co.uk stating you have now shared your portfolio with them. Please ensure that when they access your portfolio they do not rely on this email and they must login to PebblePad and click on the portfolio they can see with your name and ASSESSMENT underneath.

Uploading Assets and Tagging

Before uploading an asset, please ensure you get/know the Tag you need for the asset so once it is uploaded it will appear on the correct page and your assessors and externals can locate it on the page. The tag for your asset can be found at the bottom of the page as shown in the screenshots below. The yellow highlighted parts are the tags you would need to copy.

  1. Click Assets on the homepage of PebblePad.

  2. Click Or choose a file… and then locate the file you want to upload as an asset.

  3. Once you have chosen your file scroll to the bottom of the page where you will need to tag your file accordingly before confirming the upload.

    As mentioned above please ensure you get the Tag you need for the asset so once it is uploaded it will appear on the correct page and your assessors and externals can locate it on the page. The tag for your asset can be found at the bottom of the page the asset is for.

    Paste the tag you have copied and click Add.

    Once you have entered your tag click Confirm upload.
    Once you have done this your asset should now appear on the correct page in your workbook. Please access your workbook and check the page, ensure Search results is turned ON and the newly uploaded and tagged asset shall appear at the bottom of the page.

PebblePocket – Paramedic Students

HOW TO – Access and Login to PebblePocket

  1. Download the PebblePocket App from your devices app store.

  2. Open the app and click Settings in the bottom left.

  3. Click Account details > at the top.

  4. Click LOG IN.

  5. Click Choose institution: and then select University of Huddersfield Once selected click Login to PebblePad

  6. Login to PebblePad using your login details. Once you enter your details and click login please allow a little time to load.
    Don’t forget Your login details for PebblePad are connected directly to your university login details and therefore are the same with the exception of your username.
    Your PebblePad username is just your ID number and your password is the same as your University login.
    For example if my ID number was u1234567 my login for University would be:

  7. You will be returned to the settings page. Click the < next to Settings. You should now see PAD 1, 2 and 3 Competencies**
    *Apprenticeship students only have access to PAD 2 and 3 but the same instructions apply.
    CAUTION Sometimes the Competencies do not appear after initially logging in. To resolve this simply click on My assets in the bottom right, wait a minute or two, and then go back. You might have to repeat this process a couple of times so please be patient. The PAD 1, 2 and 3 Competencies should now appear*
    *Apprenticeship students only have access to PAD 2 and 3 but the same instructions apply.

HOW TO – Create a Competency

  1. To create a competency, click on PAD 1 Competencies, PAD 2 Competencies or PAD 3 Competencies*, depending on which one you need. For this guidance we will be using the competencies in PAD 1.
    *Apprenticeship students only have access to PAD 2 and 3 but the same instructions apply.

  2. Click on the relevant competency you need. For this example we want Competency 1 so therefore click on Competency 1-6a: Safety, Risk & d…

  3. Ensure you name (Save as…) the competency accordingly with the Competency number and the level it has been supervised at.
    For this example we want Competency 1 at a Supervised level so this form will be called 1 – Supervised
    Under Competency select the competency from the drop down list
    Under Supervision Level select the required supervision level from the drop down list
    Click Add signature

  4. A pop up will warn you that once the competency is signed, any changes made to the competency will result in the removal of the signature. Please ensure before getting the competency signed you have filled in the competency correctly.
    Disregard the (Optional) section regarding hours and points and click Continue to sign.

  5. Fill in the name and email of the external who is signing off your competency.
    Get your external to sign using their finger or stylus on your device
    Click Save
    CAUTION Please ensure the email provided is correct and spelt correctly as once the form is saved the external will receive an email from PebblePad at the end of the day informing them they have signed off a competency.

    If there is any doubt or discrepancy regarding your competency or the signature, you will be required to contact your external and ask them to provide this email as evidence.

  6. Save your competency by scrolling down and clicking Save to device
    CAUTION ​​​​​​​If you delete the App for whatever reason, any Competencies that have been saved and have not yet been sent to your PebblePad will be lost and cannot be retrieved. Ensure all Competencies that are completed have been sent to your PebblePad before the removal of the app.

HOW TO – Send to PebblePad Portfolio

  1. Access your competency by clicking My assets in the bottom right.

  2. Click the competency you want to send to your PebblePad
    CAUTION If you delete the App for whatever reason, any competencies that can be found here will be lost and cannot be retrieved. Ensure all competencies that are completed have been sent to your PebblePad before the removal of the app.

  3. Click Send ​​​​​​​in the top right.

  4. You will be asked if you are “sure you want to send this Form” as one final check before sending.
    If you are sure click Send.

  5. After a few seconds, PebblePocket will inform you the competency has been sent successfully.
    You will also receive an email to your student account from noreply@pebblelearning.co.uk informing you that your asset has been sent.
    Please retain this email as evidence just in case.

HOW TO – Check sent Competencies are in PebblePad

  1. Once you have sent your competency from PebblePocket to PebblePad you can check it has come through successfully by first logging into PebblePad and accessing your portfolio.*
    CAUTION Please be aware that in Resources, where you access your portfolio, you will also see all the worksheets for your competencies. Please do not use, edit or delete these. Simply ignore them and access your portfolio Paramedics Portfolio 2022 – Apprenticeship March 23 Intake (you might have to scroll down to find it)
    In your portfolio click onto the necessary PAD. For the sake of this guidance we are checking our Competency 1 form sent from PebblePocket to PebblePad so we click PAD 1 Practice Assessment -> S1: PAD 1 Competencies (Pocket)*
    *Apprenticeship students only have access to PAD 2 and 3 but the same instructions apply.

  2. Click the section your competency was for. For this example click Competency 1-6c (PAD 1).

  3. Ensure Search results is turned ON
    Once it is, all sent competencies will now appear in a list on the page.

Common Issues

Avoid Multiple Devices

When working on your portfolio, please ensure it is only open in ONE tab or device.
If you open multiple times across multiple devices/tabs a duplication error may occur and potentially loss of information. To avoid this log out before closing after each use. It can take up to 30 minutes for the system to recognise you have logged out of a device so please bear this in mind.

FAQ

I have completed the wrong section, what do I do?

Unfortunately if you or/and your externals have filled in content but it is in the wrong section, there is not an easy way to copy or transfer things across to the correct section. The work will have to be redone/copied across manaully.

  • If you fill in the wrong section copy (Ctrl+C) your content and paste (Ctrl+V) it into the correct section. You can overwrite your section when you do need to use the incorrectly filled part.
  • If you notice your assessor has input feedback into the incorrect section the external will need to copy and paste the information into the correct section and redo any checkboxes in the correct section. They will also need to delete the incorrectly filled sections. Guidance on this can be found in the External HELP guide, specifically Deleting Feedback.

My Assessor/Supervisor cannot access my Portfolio?

For assessors and supervisors to access your Portfolio you need to share it with them correctly. Please refer to How to share your Portfolio earlier in this page.

I cannot share my Portfolio with my External

To share your Portfolio, your External needs to have a University of Huddersfield PebblePad account.

If you get the message “No external user was found with that email address” when you try and add your external, check the email address is correct and spelt correctly.

If it is spelt correctly and still cannot be found, contact hhs.brightspace@hud.ac.uk and provide your externals first and last name, their email address and CC them into the email and we can then create a UoH PebblePad account for them or check if they already have one.

Cannot see my Externals feedback?

If you are unable to see your Externals feedback, please check with them that they have released their feedback.
